Review replies are public. Every response is read by future guests deciding whether to visit, so the goal isn’t to win an argument — it’s to show that you care, listen and fix things.

Five principles

  1. Reply to every review, and reply reasonably soon.
  2. Use the guest’s name and mention a specific detail from their review.
  3. Thank them — even when the review stings.
  4. Never argue, blame or share private details in public.
  5. For problems, invite them to continue the conversation privately with a direct contact.

Template: positive review

“Hi [name], thank you so much! We’re thrilled you enjoyed the [dish they mentioned]. [Team member] will be happy to hear it. We hope to see you again soon.”

Template: mixed review

“Hi [name], thanks for sharing your feedback. We’re glad you enjoyed [the positive], and we’re sorry [the issue] fell short. We’ve shared this with the team. We’d love the chance to give you a better experience next time.”

Template: negative review

“Hi [name], we’re sorry your visit didn’t meet expectations, and thank you for telling us. [Acknowledge the specific issue without excuses.] We’d like to make this right — please contact me directly at [email/phone]. — [Your name], [Role]”

What not to do

  • Don’t offer refunds or freebies publicly — it invites more complaints. Handle that privately if appropriate.
  • Don’t post fake reviews or ask staff and friends to; platforms detect and remove them.
  • Don’t copy-paste the exact same reply to every review.
